Sending Electronic recorded letters – eR letters is performed via eR platform, completely protected software which has all the functionalities of an advanced e-mail client for managing eR letters, with additional time stamping features and server e-signing REM evidence. REM evidence is XML file that confirm whether the eR letter has been accepted by the platform, delivered, opened or refused by the addressee. REM evidence is stored on the platform even when the original eR letter is deleted from the platform, because it contains activities that are implemented between the sender and the addressee.
At all times the sender has an insight into the evidence and different forms of the report. The sender also receives a notification by e-mail of any change in the status of the eR letter free of charge, while the delivery of the SMS notifications to the registered mobile phone number is made at the request of the user and represents the value added service, which is charged.
Content of the eR letter could be different documents, such as electronic invoices, but also all documents sent by post, that could also be sent electronically.
There are two types of eR letter:
- basic eR letter – the sender has an insight only into the status weather the eR platform has accepted the sent basic eR letter;
- advanced eR letter – the sender has an insight into several statuses regarding the sent eR letters (for example: eR letter accepted to eR platform, eR letter delivered to eR platform, eR letter collected or rejected by the addressee, etc.).
How to become a user of Electronic recorded letter service?
Electronic recorded letter -eR letter service is intended for legal entities. Users that conclude an Agreement with the Post, receive an eR address (in the format firstname.lastname@example.org), they login to the platform via web portal, then they add electronic documents (previously signed or unsigned) as an attachment to the eR letters and send them to the addressees to their address. They have the status of a sender and the possibility to send and receive eR letters.
eR letter addresses that have not signed an agreement with the Post, can be registered at the eR platform and can access the platform the same way as the senders, i.e. users that have concluded the agreement, with the difference that they can only receive eR letter, but cannot send them. To the unregistered user, i.e. addressee, the eR letter is sent to the standard email address by submitting to him in the body of the mail the link that opens the web site on the eR platform containing the sent eR letter. An unregistered user can also only receive eR letters, and cannot send them.
Exchange of eR letters via eR platform is:
- simple, safe and reliable;
- in accordance with international standards;
- undeniable and strictly confidential at all times (since ER letter never leaves the platform);
- without waiting at counters.
